Data Protection Procedures
How DW Transport Consultancy handles personal data during reviews and support assignments.
1. Controller
DW Transport Consultancy is the data controller for personal data collected through this website and during its own business operations. For personal data received from a client organisation during an engagement, the client is normally the data controller and DW acts as a data processor on the client's instructions for the agreed service.
2. What data is collected
DW may collect names, job titles, email addresses, telephone numbers and company details submitted through the contact form, by email, by telephone or during an engagement. During an Operator Compliance Health Check or similar review, DW may also receive copies of driver records, vehicle records, maintenance files and other operational documents provided by the client.
3. Why the data is used
Personal data is used to respond to enquiries, deliver the agreed services, issue reports and recommendations, manage the business relationship and comply with legal obligations. The lawful basis is normally the performance of a contract or legitimate interest in managing business relationships.
4. Sharing
DW does not sell or share personal data with third parties for marketing. Data may be shared with a limited number of service providers (for example, email hosting, cloud storage, digital signature services) solely for the purpose of delivering the agreed service. DW will tell the client before sharing operational data with any other party.
5. Retention
Enquiry data is kept for no longer than 12 months after the last contact. Engagement records, including reports and supporting documents, are kept for a reasonable period after the engagement ends, normally no longer than six years, unless a longer period is required by law or agreed with the client. Client-supplied operational documents are returned or securely deleted at the end of the engagement unless retention is agreed.
6. Security
DW uses appropriate technical and organisational measures to protect personal data, including encrypted storage, access controls and secure disposal of records that are no longer needed.
7. Your rights
Under data protection law you have the right to access, correct or delete personal data held about you, to restrict or object to its processing, and to data portability where applicable. To exercise any of these rights, contact DW using the details below.
8. Cookies and analytics
This website does not use tracking cookies or third-party analytics. If this changes, this page will be updated and consent will be obtained where required.
